Files in a workspace
Files in a workspace are private to that workspace: only its members can open them, according to the Files app's permissions for their role. A file link doesn't work for anyone outside the workspace.
Files sit in folders and can be uploaded from your phone in any format. A file can also point to something already in your Media Manager instead of being uploaded again — useful when the same logo is needed in several places.
Deleting files
Deleting an uploaded file removes it from the workspace. Deleting an entry that points to your Media Manager removes the entry only — the original stays in your Media Manager.
Anyone with delete permission on Files can delete any file, and the person who uploaded a file can always delete their own. The same pattern applies to notes and calendar events.
Workspace files are protected in transit and at rest, but not end-to-end encrypted. For sensitive documents, treat a workspace like a shared drive rather than a safe.
